Privacy Policy
This Privacy Policy explains how Eco York, LLC (“Eco York,” “we,” “us” or “our”) collects, uses and shares information through the PRE Member Portal (the “Portal”), which we provide for Professional Referral Exchange (“PRE”) chapters, their members and guests. The Portal helps chapter members give and track business referrals, run weekly meetings, and share a public directory of member businesses. By using the Portal you agree to this policy. 1. Information we collect
From members, when you join or your chapter leader adds you:
- Name, email address, business name, business category, phone, website, address, town, a one-line description, the kinds of referrals you want, and an optional logo;
- Your directory and email settings;
- Your activity in the Portal: referrals you give and receive and their status and closed value, 1-to-1 meetings, meeting check-ins, guests you invite, points, badges, rewards redeemed, thank-yous and testimonials, and sponsorship requests.
About people who are not members (“referred contacts” and guests):
- When a member gives a referral, they enter the referred person's name, phone, email, what they need, and optional details. Members must have the person's permission to share their information with the member they are referring them to.
- Guests who visit a meeting or sign up for one provide their name, email, optional phone, business and category.
From sponsors: business name, category, website, phone, tagline, logo and contract details, entered by PRE or a chapter leader.
Automatically: technical logs (IP address, browser type, pages requested, timestamps) used for security and troubleshooting, and the cookies described in section 5.
2. How we use information
- To run the Portal: sign-in, referrals, meetings and check-in, the member and public directories, points, badges, rewards, sponsors and reports;
- To send the emails the Portal is built around: sign-in codes, referrals you receive, updates on referrals you gave, reminders, meeting invitations for guests, and monthly or weekly summaries (you choose which in Profile & settings);
- To suggest referral partners and match a contact's need to the right member (see section 4);
- To keep the Portal secure, prevent abuse, and meet legal obligations.
We do not sell or rent personal information, and we do not use it for advertising by others.
3. Who can see what

4. Referral suggestions and matching
The Portal suggests who you could refer next and which member fits a contact's need, using your chapter's own activity: member listings, category search words, and past referrals (including their needs and notes). This runs entirely on our servers; it does not send your data to outside AI services, and learned information from referral notes is never shown to other members. Suggestions are only suggestions; they are not used to make decisions that have legal or similarly significant effects on anyone.

Strictly necessary cookies can't be turned off because the Portal won't work without them.
6. Service providers
We use a small number of providers who process data only to run the Portal for us: our hosting provider (servers in the United States), Cloudflare (network security and delivery), our own mail server for email. We may also disclose information when required by law, subpoena or court order, to protect the rights and safety of members or the public, or as part of a merger or sale of the business, in which case this policy continues to apply.
7. Logos and images
Uploaded logos are re-encoded by our servers, which strips embedded metadata (such as camera or location data) before storage.
8. Keeping and deleting information
- We keep member information while your membership and account are active.
- Delete your account any time in Profile & settings. Your profile and settings are removed and your name on past referrals is replaced with “Former member,” so other members' history stays accurate.
- Download your data any time in Profile & settings.
- If a chapter closes, its members can no longer sign in; its history is kept for PRE's records unless deletion is requested.
- Outgoing emails are deleted from our send queue as soon as they are sent. Encrypted backups are kept for a limited period (currently up to 30 days) and then replaced.
- Referred contacts and guests may ask us to access, correct or delete information a member entered about them by emailing [email protected].
9. Security
We use reasonable technical and organizational measures to protect information: no passwords are stored (sign-in uses single-use codes that expire in 10 minutes or one-time links), all traffic is encrypted (HTTPS), each chapter's data is kept separate from other chapters', backups are encrypted, and administrator actions are logged. No system is perfectly secure. If a breach of personal information occurs, we will notify affected people as required by the Pennsylvania Breach of Personal Information Notification Act and other applicable law.
10. Children
The Portal is a business tool for adults and is not directed to anyone under 18. We do not knowingly collect information from children under 13; if we learn we have, we will delete it.

Depending on where you live, you may have additional rights under your state's privacy laws; contact us and we will respond to verifiable requests within 45 days.
12. Emails
Sign-in codes and security messages are always sent. Other emails (referral notifications, reminders, summaries) can be turned off in Profile & settings. Guests who ask for information about joining receive it; we don't add anyone to marketing lists.
13. Governing law
This policy and the Portal are governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict-of-law rules.
14. Changes to this policy
We may update this policy. We will post the new version here with a new effective date, and tell members by email of material changes.
